Privacy policy: website visitors and enquirers

A description of how we collect, use and store data from you when you use our website or enquire with us.

How we collect data

We have forms on our website for potential future students, their families and other interested people so you can do things like: 

Data from other parties

Sometimes we also collect information about people who are interested in us from other websites you use like or SACU.  

We use Unibuddy on our website so that you can talk with existing students about their course and experiences here. Because Unibuddy take care of your information when you register to chat, they also have their own privacy notice which is linked from their signup form which you be asked to complete before chatting with our students.

When interacting with or entering your details on our social media channels (including Facebook, Instagram and Twitter), you are subject to the data policies of those third parties as well as our own.

Storing your information 

We store your information in our CRM (customer relationship management system) which is hosted in the cloud on a secure server. Only those employees who work with the CRM  and manage processes like events have access to this information. They have secure logins which are removed if they change or leave those roles. 

The information we ask for 

In our forms we normally we ask for your name and email address, sometimes an address and phone number and the subject or course you’re interested in. Sometimes we ask when you’re thinking of start at uni and, if you’re coming to see us for an event we will ask if you have any special needs for example, dietary or accessibility. We might ask for other information, like your gender or ethnic origin, to help us with reporting total numbers to the Higher Education Statistics Agency.

Our website cookies capture your IP address, device and browser type, the pages you visit and buttons you press. Your internet provider will also supply details such as the city and country you are visiting from. You can control the use of cookies during your visit, read our cookie policy for more information.

What we need your information for 

We use the data that we collect to confirm your event bookings and to reply to your enquiries. We will also keep you updated about the course(s) you are interested in and may remind you about key events like open days, application deadlines and Clearing. Usually this will be via email unless you request a phone call or have given permission for text messages or other types of communication.

We always try to send you useful content that we hope will help you to get to know the University of Gloucestershire so that you can decide if it is the right place for you to study. 

Emails and messages

We never intend to send emails or messages to people without prior consent. If you receive something from us and wish to stop any further contact, please use the option to ‘unsubscribe’ contained in the message.

Digital marketing and advertising

You may see adverts for the university of Gloucestershire on other websites and social media platforms after browsing here. These ads are targeted as much as possible using criteria like your location and the pages you viewed on our website.

Web analytics

Data from cookies helps us to understand how our website is used and to make it better for your next visit and for other visitors. The information is stored and used for measuring and reporting on website activity and user behaviour. We use tools including Google Analytics and Hotjar to analyse what happens on our website, you might like to read their own privacy policies for information about how they collect and store data.

Your information will be processed by the university and only other organisations working on our behalf who are compliant with current data protection legislation in order to send you relevant communications, for example:
